Bookings

Here you can create your bookings for term time sessions, holiday clubs and adhoc sessions.

Admissions and Fee Policy

KiKi’s Kidz Limited is registered with Ofsted as KiKi’s Kidz Out of School’s Club registration number is 2562700. KiKi's Kidz Limited employee staff to provide care for children between the ages of 2 and 12, primarily serving the children of Hunts Grove Primary Academy School during term time. Playschemes are open to all children this age from other schools.

Places are offered on a first-come first-served basis. When all places have been filled, a waiting list will be established, with the following order of priority:

1.  Siblings of children already attending the club

2.  Those requiring the greatest number of sessions/hours per week

3.  Children of Hunts Grove Primary School

Online Booking System

You can use the online booking system to enquire availability of spaces. You can change and amend your details, bookings you have booked, make new bookings. You will not be able to amend, change or cancel bookings. Please email hello@kikis.kidz.co.uk

Booking procedure

Parents must complete the online booking system https://kikis.kidsclubhq.co.uk, which includes, registration details, medical information, privacy notice, sun-cream and photo permission consents, before their children can attend the club.

​

Once booked, if a child does not attend for any reason, you will still be charged for this place. If you wish to cancel the place altogether, one month’s notice in writing is required, full fee applicable. All bookings are paid for in advance.

​

When booking you can make a permanent contract, where by your space becomes saved for the rest of the school year or you can book adhoc spaces.

·      Ad-hoc booking:

We will accept occasional bookings as long as there are places available and payment is in advance and booked using the online system. 

​

There must be 4 weeks notice to cancel any sessions. If you experience any problems you should make contact as soon as possible, hello@kikiskidz.co.uk

Fee structure

Fees are charged at

BREAKFAST CLUB 7.30-8.50 IS £5.75

AFTERSCHOOL SCHOOL FULL SESSION 3.20-6.00 £13.75 includes food.

​

The charges for Additional theme/craft sessions will vary due to the costs involved in these clubs. Sessions are usually 3.20 – 4.30PM  these fee’s and times are subject to change. If parents are late collecting at 4.30pm, you will be charged the full amount for the session of £13.75.

​

Help with Fee's 

The Club recognises that childcare can be costly, so we encourage eligible parents or carers to claim the childcare element of the Working Tax Credit/ Universal Credit. You can claim back up to 85% back if you use UC.

​

We are also registered to accept childcare vouchers with Computer Shares, Sodexo the Tax-Free Childcare scheme.

​

Parents (usually students in college or University) uses Child Care Grant scheme, these parents pay 15% of their invoice in advance. The remaining 85% is claimed at the end of term. In the event we are not able to claim the 85% from CCG scheme this will become your invoice to pay in full.

​

Terms and conditions:

·      Fees are payable monthly in advance

·      All Fees can be paid by via Bank Transfer (see details on invoice) or childcare vouchers.

·      There is a charge of £10 per 15 minutes for late collection, which will be added to the next invoice.

·      If payment is not made on the 1st day of the month for the month ahead (permanent sessions) or ahead of Ad-Hoc sessions, there is a £10 charge per day from Day 3 of late fee. These costs are added to the invoice if a pre-arranged agreement isn’t made ahead of invoice due date. If you have problems paying your next invoice, please speak to Vicki S who can advise you further and avoid additional invoice charges.

·      Fees are charged for booked sessions whether the child attends or not.

The Club will consider requests for variation to payment terms on an individual basis. Anyone making these requests should contact Vicki S. at the earliest opportunity. Any queries regarding fees should be directed to the manager.

​

If fees are not paid, the Club will write to the parent or carer, requesting payment. If the parents or carers are having difficulty making the payment on time, we recommend that they arrange a meeting with the manager/owner as soon as possible.

​

Where there is no explanation for repeated late payment, the manager will contact the parents or carers to discuss payment options. The manager will email the parent or carer informing them that continued late payment will result in their child’s place at the Club being withdrawn.

​

The manager may terminate or suspend a child's account until a payment solution has been found. This is to prevent any further debt accruing. 

​

If the fees remain unpaid after all the above options have been explored, the Club may have to cancel the child’s place. All unpaid fees regardless to how small will be taken to court, and court fees will be added to the invoice.

Please note the £10 late charge per day applies from Day 3 of payment overdue this invoice may not be shown on your online booking, it may come from our ‘xero’ account software.

Fees are reviewed regularly.

Other terms and conditions:

You understand that staff employed by Hunts Grove Primary Academy /Phoenix Learning Alliance have access to your children whilst in the care of KiKi's OOSC as the premises is shared. In some situations like an emergency, school staff may help provide care to children in KiKi's Out of School's Club.

​

You will keep KiKi's OOSC up to date of any information that helps us keep your child safe, such as medical information or changes to personal circumstances.

​

You will notify KiKi's OOSC of your child's non-attendance on the day via texting 07565 546611.

​

You and your child will follow our policies and procedures that can be found on our website www.kikiskidz.co.uk
